Why the network matters more than the phone
Almost every “the phones are bad” call we take turns out to be a network problem, not a telephony problem. Voice is the first thing to break when a network is flat, unsegmented or oversubscribed, and the last thing anyone suspects.

What we actually configure, the PBX, the trunks and the network under them
A phone system is judged on two things: whether calls sound right, and whether the call gets to the right person. The first is almost always a network problem. The second is a configuration problem nobody wrote down. Both are avoidable, and both are decided before the handsets arrive.
The call flow: how the business actually answers
Extensions, departments and numberingA numbering plan with room to grow, mapped to a real organisation chart. Direct dial numbers assigned where they matter, so a client reaches a person rather than a menu.
Auto-attendant that respects the callerShort menus, an obvious route to a human, and a defined answer for the option nobody chooses. Long IVR trees are the most reliable way to lose a customer who is ready to buy.
Ring groups and queuesSimultaneous or sequential ringing chosen per department, with hunt order, wrap-up time and an overflow destination, so a call is never simply ringing out somewhere nobody sits any more.
Time conditions and holidaysWorking hours, the weekend as it actually falls in Egypt, Ramadan hours and public holidays configured, with an out-of-hours route that is answered or explicitly says it will not be.
Voicemail to emailMessages delivered to the mailbox, so they are seen the same day rather than sitting behind a message-waiting light on an empty desk.
Call recording, with retention and consentRecording on the extensions where the business needs it, stored with a defined retention, access limited to named people, and a policy that acknowledges callers should be told.

Trunks, codecs and the provider side
SIP trunk registrationRegistration or IP-based authentication set up with the provider, credentials held properly, and concurrent-call capacity matched to the busiest hour rather than to headcount.
Codec choice made deliberatelyHigher-quality codecs sound better and use more bandwidth per call; compressed ones fit more calls down a thin link and sound like it. We choose per site against the actual circuit, and disable the rest so negotiation is predictable.
Caller ID presented correctlyOutbound identity set so calls are not rejected or shown as unknown, a surprisingly common reason customers do not answer.
Emergency numbersReachable from every extension without a prefix anybody has to remember, and routed correctly per site.
Fax, honestlyFax over IP is fragile. Where a fax line genuinely still matters, we keep it on an analogue gateway or a dedicated line rather than pretending it will survive a compressed codec.
Toll fraud protectionInternational dialling restricted by extension, strong extension secrets, and rate limits. An exposed PBX with weak passwords can generate an enormous bill overnight, and it is one of the most common attacks on any phone system.
Handsets and provisioning
Zero-touch provisioningHandsets pull their configuration from a provisioning server on first boot. Fifty phones deployed by plugging them in, not by typing settings into fifty screens.
Templates, not one-off configurationA standard profile per role, so a replacement handset is a swap rather than a rebuild, and a change applies everywhere at once.
Busy-lamp keys designed for the jobReception sees the people they transfer to. A warehouse phone does not need a screen full of keys nobody uses.
Cordless coverage surveyedDECT base stations placed against a walk test in the actual building. Warehouses, factory floors and basements are where cordless coverage is claimed and not delivered.
Firmware controlled centrallyOne known-good firmware across the fleet, updated on a schedule. Mixed firmware is where intermittent, unreproducible call faults come from.
The network underneath, where the faults actually are
Voice VLAN, assigned automaticallyPhones land on their own VLAN without anyone configuring the port by hand, with the PC behind the phone still on the data VLAN. One large file transfer should never be able to affect a call.
Quality of service marked and trusted end to endVoice media and signalling marked correctly, and, the part usually missed, the switches actually configured to trust and prioritise those markings. Enabling QoS only on the PBX achieves nothing.
SIP inspection turned off on the firewallThe firewall feature that claims to help SIP is, in practice, the most common cause of one-way audio and dropped registrations. We disable it and handle the traversal properly instead.
Media ports and NAT handled explicitlyThe audio range permitted and translated consistently. One-way audio is almost always this, and almost never the handset.
PoE budget verifiedHandset power totalled against the switch budget before deployment, rather than discovered when the last phones on a floor refuse to boot.
Jitter, loss and latency measuredThe link tested under load before go-live. Voice tolerates very little loss, and a circuit that browses perfectly can still be unusable for calls.
When it does go wrong. What it usually is

Where we draw the line. Because we run the switching and the firewall as well, a call-quality problem does not become two suppliers blaming each other. We can prove where it is. And if your circuit genuinely cannot carry voice, we will tell you that before you buy a phone system rather than after.
